Data Center Maintenance RFP Checklist
A practical checklist for building a defensible RFP for data center hardware maintenance — covering scope, SLAs, parts, references, and contract terms.
Scope
Define exactly what is covered: OEM, platform, model, serial, location, quantity. Ambiguous scope is the single most common source of post-contract disputes. Include the handling of additions, decommissions, and moves during the contract term.
SLA Definitions
Require written SLA definitions: response time (measured how, from what trigger), onsite arrival commitments, parts delivery commitments, exclusions (weather, access restrictions), and remedies for SLA breach. Ask for a sample service-level report.
Parts
Ask how parts are sourced (new, certified refurbished, OEM, managed inventory), how they are tested, what warranty they carry, and what the provider's average parts fill rate looks like across comparable environments. Request parts-handling documentation.
Escalation
Map the escalation path from first call through executive escalation. Require a named escalation contact and a documented response-time expectation at each tier.
References
Request at least two references in comparable industries and estate sizes. Ask the references specifically about incident handling, parts availability, and contract administration — not just general satisfaction.
Security and Compliance
If the environment handles regulated data (healthcare, finance, government), require documentation of the provider's controls framework, background-check policy for onsite technicians, and incident-reporting process.
Contract Terms
Review: term length and renewal mechanics, price escalators, termination rights, liability caps, indemnification, and data-handling language. Avoid auto-renewal without a written notice window.
Transition
Require a written transition plan with milestones, parallel-coverage periods where warranted, and a point-of-contact for the transition itself (not just the steady-state engagement).
